The short version, aka "TL;DR"
DirectCareTools is a content site. As of the date below, there are no accounts, no logins, and nothing for sale here. We collect information in exactly three situations: you send us a message, you subscribe to our email list, or you read a page (which produces anonymous, cookieless analytics).
We do not sell your personal information, we do not rent or trade it, and we do not use it for advertising. If you write to us, we use what you send only to respond to you. If you subscribe, we use your email address only to send you the emails you asked for, and you can leave at any time.
Now for the longer version.
Who we are
DirectCareTools ("we," "us," or "our") is operated by JML Ventures, LLC. This Privacy Policy describes what information we collect through the DirectCareTools website, how we use it, and what choices you have.
Information We Collect
When you send us a message
Our contact form asks for your first and last name, email address, and message, and optionally your phone number, practice type, and a subject category. We use this only to read and respond to your message.
The form is protected by an automated spam check that confirms submissions come from a person rather than a script. That check is privacy-preserving by design and does not track you across websites. Submissions are processed by our hosting provider, Cloudflare, and delivered privately to us through Telegram. To limit abuse, your IP address is briefly recorded — for one hour, solely to count recent submissions — and then discarded automatically. Your IP is not attached to your message or stored with it.
Please do not send patient information. DirectCareTools is not a healthcare provider, is not a HIPAA covered entity or business associate, and the contact form is not a secure channel for protected health information. Write about your practice, not about your patients.
When you subscribe to our email list
If you subscribe to our newsletter or join a waitlist for an upcoming tool, we collect the email address you provide (and your first name, if the form asks for it). Our email list is hosted by Kit, which stores your subscription and sends the emails on our behalf. Kit records standard email engagement data, such as whether a message was opened or a link was clicked.
We use this to send you articles, resources, and product updates. Every email includes an unsubscribe link, and unsubscribing takes effect immediately.
When you read a page
We use Umami, a privacy-focused analytics tool that we host ourselves. Your visit data is not shared with a third-party analytics company.
Umami does not use cookies and does not create a persistent identifier that follows you across sites or sessions. For each page view it records the page you viewed, the referring site, and general details derived from your request, including your approximate location at the country level, your device type, browser, and operating system. IP addresses are used only to derive that country-level location and are not stored.
What we do not collect
To be specific about what is absent: we do not collect account or profile information, passwords, payment or credit card information, purchase or subscription history, or precise location data. We do not build advertising profiles, and we do not use tracking cookies.
How We Use Information
We use the information described above only to:
- respond to messages you send us;
- send the emails you asked to receive;
- understand which articles and pages are useful, so we can write more of what helps and retire what doesn't;
- keep the site working and protect it from spam and abuse; and
- comply with the law.
We do not sell, rent, or trade your personal information, and we do not share it for advertising or cross-context behavioral advertising. We do not use what you send us for any purpose beyond the list above — a message you send us is used to answer you, and nothing else.
How We Share Information
We share information with the service providers that operate parts of this site on our behalf. Each one receives only what it needs to do its job:
- Cloudflare — hosts the website, provides the contact form's spam check, and processes form submissions.
- Telegram — delivers contact form submissions to us as a private message.
- Kit — stores our email list and sends our emails.
- Umami — analytics, self-hosted by us on infrastructure we control.
Beyond those providers, we will share personal information only:
- With your consent, when you ask us to.
- For legal reasons, if we have a good-faith belief that doing so is reasonably necessary to comply with an applicable law, regulation, legal process, or enforceable governmental request; to enforce our Terms of Service; to detect, prevent, or address fraud, security, or technical problems; or to protect against harm to the rights, property, or safety of DirectCareTools, our readers, or the public.
- In connection with a business transfer, if JML Ventures, LLC is involved in a merger, acquisition, or sale of assets, in which case we will note the change on this page.
How We Protect Information
We take reasonable measures to protect the information you send us: the site is served over HTTPS, the contact form is spam-filtered and rate-limited, and access to our email list and message history is limited to us. We also limit our exposure by collecting very little in the first place.
No method of transmission over the internet or method of electronic storage is completely secure, so we cannot guarantee absolute security. This is also why we ask you not to send patient information or anything else you would not want read outside a secure clinical system.
Third-Party Sites and Embedded Content
Some pages load resources from third parties, including the Lucide icon library from unpkg.com and the email signup forms hosted by Kit. Loading a resource from another company's server means that company can see your IP address and basic request details.
We also link out to other sites, including our community on Skool and the vendors and tools we write about. Once you follow a link, you are on that company's site under that company's privacy policy, not ours. We do not control those policies and are not responsible for them.
Cookies
DirectCareTools does not set advertising or tracking cookies, and our analytics are cookieless. Third-party embeds, such as the Kit signup forms, may set their own cookies when you interact with them; those are governed by Kit's privacy policy.
How Long We Keep Information
- Contact form messages stay in our Telegram history and are kept as long as they are useful for correspondence or our records.
- Email subscriptions are kept in Kit until you unsubscribe. Unsubscribed records may be retained to honor your opt-out.
- Analytics data is aggregate and non-identifying, and is retained indefinitely.
Your Choices and Rights
- Unsubscribe from our emails at any time using the link in the footer of any message, or by emailing us.
- Ask us what we have, or ask us to delete it. Email us at [email protected] and we will tell you what information we hold about you, correct it, or delete it. Because we hold so little — an email address, or a message you sent us — this is usually a quick request to honor.
- Opt out of analytics by enabling "Do Not Track" or a global privacy control in your browser, or by using a content blocker. Our analytics script is a single file you can block without affecting how the site works.
Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA. We honor these requests regardless of where you live; the email address above is how to make one. We will not discriminate against you for exercising any of these rights.
Children's Privacy
This site is written for physicians and other adults building medical practices. It is not directed at children under 13, and we do not knowingly collect information from them.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "last updated" date below. If a change is significant, we will say so more prominently, such as in an email to subscribers.
